Our step-by-step videos function as hybrid course & technical onboarding so your team learns how to use the CRM while also learning business development strategies that serve the health of the practice and the client.
Once you go live with your CRM, we continue to support you through weekly Q&A’s with other practices who have just launched the system. We encourage discussion and exchanging ideas with other practices in each group.
You’ll receive hands-on support and training on how to optimize your intake process as you start using the CRM to streamline, save time, and pull reports to help you scale.

We’ve mapped every milestone that each prospective client goes through on the journey to become a new therapy client at your practice into the Practice Axis Intake Navigator. You’ll receive your own Intake Navigator to customize for your practice. This will serve as the Standard Operating Procedure manual for your intake process which is used to train all current and future members of your current Client Care Team.

Your practice will be assigned to an Onboarding Specialist who will be your guide throughout the entire program as you work through the material at your own pace. In addition, our Support Team will be working with you via email to answer questions and set up your CRM. You will receive a dynamic checklist with a schedule of set-up activities, and videos. Your practice will have 3 training calls with your dedicated onboarding specialist. As soon as you go live, you’ll have access to our weekly “Launch Squad” Q&A Sessions throughout your program.

The program includes two months of subscription to the Practice Axis CRM. All CRM features are included in each of our 3 subscription tiers, which are based on your practice size and include additional users for larger practices. One user seat includes a unique username and password for that team member and the ability to assign tasks and send direct email messages to that team member. Typically a user account is assigned for the Practice Owner, Biller & Client Care Coordinator.

You will identify key performance indicators, such as “% of new inquiries who scheduled an intake session but never showed up” to measure growth and performance at your practice. Participants are trained on how to pull reports regularly so you can leverage the data to make important decisions for your practice. Our dashboard of over 22 reports includes: Top referral sources, frequently requested clinical needs and time slots, number of intakes booked per month, intake attendance rates, and number of clients assigned to each clinician.
We accept 10 practices per month into our Launchpad Program and you can reserve a spot for your practice in a future round with program payment and a signed agreement. The program investment is $2500, including two months of subscription to the Practice Axis CRM.
There’s a strong element of change management involved with setting up a Client Relationship Management system, especially if you’re currently using spreadsheets to track your intake process.
We only work with a limited number of practices at a time to ensure that you are fully supported as you begin to use the software and implement this new process. We will know every member of your client care team by name and will not rest until you’re feeling set up and secure with your new system.
During the program, your staff will begin implementing the CRM at your practice. By the end of the 8 week program, your administrative team will have all the resources you need to continue using the CRM. Your subscription to our platform will automatically continue on a month-to-month basis and we will remain available for technical support and customer service. We routinely offer client-only training webinars on business development practices and as we roll out new CRM features.
The Launchpad Program will cover training on workflows to streamline Intake, manage your Waitlist and nurture Current Clients throughout each of these three Pathways of the client journey.
Though the program is 8 weeks, our schedule has your team fully transitioned away from your existing intake system, fully trained on your new process and implementing the CRM within 4 weeks.

This program is designed for your Client Care Team, including Intake Coordinators, Billers, Operations Managers, and Practice Owners. Anyone on your administrative staff is welcome to participate throughout the program. Therapists and clinicians will not need to login to the CRM unless they play an administrative role in the intake process.
You’ll appoint a few people to make decisions on the design of our intake process, email template language, and workflows in the first 3 weeks. These decision-makers will participate in the 90-Min Workflow Walkthrough Session for your practice.
Everyone who will be using the CRM at your practice should attend the 90-minute Launch Ready Training call where we will train your whole team to go live. You can train any future Client Care Team members easily with your Intake Navigator (SOP Manual) and our library of videos.
Throughout the program, our team will be “all ears” for any feedback you provide on our software.
We are constantly collecting feature requests and passing them along to our development team. We’ll keep you posted as new features roll out and often you’ll have the chance to witness updates to the system in real-time.
